POS: Operation - Employee



Back Office

Tip Sharing

Navigation: Log into the BO for your Store, then select Settings > Reports > Tip Out & Tip Sharing. Select the Tip Sharing tab.
  1. Enable the Manual Tip Sharing toggle by setting it to YES.
  2. For the Choose Roles dropdown that appears, select the Role(s) that will be eligible for sharing Tips.




Tip Adjustment

Navigation: Log into the BO for your Store, then select User Management > Tip Adjustment

The Tip Adjustment screen:

  1. Display all the Employee Names who are in the Roles configured in the BO and who were clocked-in and clocked-out. including employees whose Tip amount is zero (0.00).
  2. Display all the Tip amounts of Credit Card Sales by the Role.
  3. Manual Tip Shared - Display the Tips shared to the employees who are in the configured roles. This is a non-editable field.
  4. Remaining Manual Tip Shared – Displays sum of tip before sharing to the employees. This is a non-editable field.
  5. For an Employee, enter their Tip Share Amount

Allow Over Tip in Tip Share / Tip Out

Navigation: Log into the BO for a Store then select Settings > Reports > Payroll Report. Select the Settings tab.

For the Allow Over Tip Out toggle:
  1. If enabled, an over tip will be allowed.
  2. If disabled, an over tip won't be allowed.


Navigation: Log into BO for a Store, then select User Management > Tip Adjustment

Manual Tip Shared

  1. If the Allow Over Tip Out toggle is enabled: the message 'Entered tip out shared amount exceeds the remaining amount' won't appear, regardless of the amount in the Manual Tip Share. As much of a Tip Amount can be shared as needed.

  2. If the Allow Over Tip Out toggle is disabled: then message 'Entered tip share amount exceeds the remaining amount'  will appear. The system will work as-usual.

Tip Out Shared

  1. If the Allow Over Tip Out toggle is enabled: the message 'Entered tip share amount exceeds the remaining amount' won't appear, regardless of the amount in the Manual Tip Share. As much of a Tip Amount can be shared as needed.

  2. If the Allow Over Tip Out toggle is disabled: then message 'Entered tip out shared amount exceeds the remaining amount'  will appear. The system will work as-usual.



POS


Navigation: Log in POS, then select Operation > Employee

When a Store Admin user has enabled Manual Tip Sharing in Back Office, the user has the right to Share the Tips among Employees. The Tip Amount can be split, based on the total Employees and their Role.



There are 2 functionalities in the Employee screen:
  1. The Total Tip Share (per day) displays the total amount of tip collected based upon calculation for tip share.
    1. Example: If the collected Tip is $270, and will appear as the Total Tip Share.

  2. The Remaining Tip to Share displays the Remaining Tip amount after shared to the Employee.
    1. Example: $100 from the $270 is shared - so the remaining amount is $170, which will be shared in Remaining Manual Tip Shared.

  1. If the Allow Over Tip Out toggle is disabled: the error message 'Entered tip share amount exceeds the remaining amount' with the Done option appears. The system will work as-is.

  2. You can use the Search bar to find an Employee by entering their name.
  3. Cancel option is to clear the search filter.
  4. Employee column displays the employee to whom the Tip is shared.
  5. The Role column displays the Employee's Role.
  6. The Applied Tip amount column user can enter Tip amount that will be shared to the employee.
  7. After entering the Tip amount that to be shared to the employee user can save & close by using Save & close button.

In this scenario, the Online Tip is enabled:

Tip Charge
- Charges will be collected when tip is collected for credit card
  1. For Bartender $4 is collected as charges
  2. For Server $6 is collected as charges

Employee CC Tip
= CC Tip – Tip charge
  1. Bartender = $100 – $4 = $96
  2. Server = $150 - $6 = $144

Tip out contribution
= Whenever Tip Out takes place, then the Tip Out Contribution amount should be reflected in the respective roles. Example: the Bartender Tip out is $10, so $10 appears as tip out contribution.

Online tip = Tip collected during online purchase
  1. Online Tip collected by Bartender – $30
  2. Online tip collected By Server – $20

To Tip share

  1. Example: The Bartender Employee tip is $96, and after the Tip out contribution of $10 it will be $86.

    2. For server Employee tip is $144 = $144 + online tip of $20 = $164
    3. Total = $106 + $164 = $270$

Working hrs. of Bartender and server is totaled = 8hrs + 6hrs = 14hrs
  1. Amount per hour = $270 / 14hrs = $19.20 per hour

Cash Tip = Amount of tip collected by cash 
  1. Bartender – $10
  2. Server – $20
Tip shared = Hrs. worked by employee * Amount per hour
  1. Bartender = 6 * 19.28 = 115.68
  2. Server = 8* 19.28 = 154.24
Tip out = Bartender tip out $10 to server 

Overall tip = tip shared + tip out + Declared cash tip
  1. Bartender = $115.68 + 0 + $10 = $125.68
  2. Server = $154.24 + 0 + $20 + $10 (Tip out from bartender to server) = $184.24

  1. Bartender = 98.52 + 0 + 30 + 10 = 138.52
  2. Server = 131.36 + 0 + 20 + 20 + 10(Tip out by bartender to server) = 181.56

Impact Area


The Remaining manual tip shared displays the remaining amount of tip after sharing.

Example: Manual tip shared is $270, and $100 from that $270 is shared. The remaining amount is $170, which is shared in Remaining manual Tip shared.

Implementation in POS

The Total tip share field displays the total amount of tip collected based upon above calculation for tip share.
  1. Example: If the tip collected is $270. $270 will be displayed in Total tip share. The remaining tip share displays Remaining Tip amount after shared to the employee.
  2. Example: $100 from $270 is shared. Remaining amount is $170 which will be shared in Remaining manual Tip shared.

  3. Use the Search bar to find an employee by entering their name. Click Cancel to clear the Search filter.
  4. The Employees column displays the employee to whom the tip is shared.
  5. The Role column displays the Employee's Role.
  6. The Applied Tip Amount column: enter the Tip amount that will be shared to the employee.
  7. After entering the Tip amount that to be shared to the employee: click Save & Close to save the tip sharing and close it out.
    1. If the value entered is more than the Total tip share, a Pop up with the message 'Entered amount exceeds remaining amount' appears.


Automatic Pool Tip Sharing

  1. The system will auto calculate the Tip amount for each employee based on employee working hours & share the tip accordingly. This will be available in role-based payroll & OT Based payroll report in the column tip sharing.
  2. If automatic tip sharing is enabled then in the tip sharing column of the report, the calculations will be based on automatic tip sharing.
  3. If manual tip sharing is enabled then in the tip sharing column of the report, the calculations will be based on manual tip sharing.


Back Office

Navigation: Log into the BO for your Store, then select Settings > Reports > Tip Out & Tip Sharing. Select the Tip Sharing tab.

  1. Enable the Automatic Tip Sharing toggle (set to YES).
  2. For the Choose Roles field that appears: select the Roles from the dropdown that will have automatically sharing tips applied.


  3. Based on the roles selected the tip will be shared for the employees in these roles.

  4. Note:
    1. The system won't allow the user to select both manual and automatic. Either one only can be selected.
    2. Based on the store setting (Manual or automatic tip sharing), the tip amount will be calculated & shown in reports.

Formula

  1. Per Hour Tip = Total Credit Card Tip ($) / Total Working Hours of all Employees
  2. Shared Tip Amount = Per Hour Tip * Employee Working Hours

  3. Example: There are 3 Bartenders working today. The total credit card tip is $200. The total number of hours worked by Bartenders are 20 hours, which means the per hour tip is $10.
    1. Batender1 worked for 6 hours, thus receives a $60 tip
    2. Bartender2 worked for 10 hours, thus receives a $100 tip
    3. Bartender3 worked for 4 hours, thus receives a $40 tip
