Back Office: Gift Card Report

Displays high-level details about Gift Card transactions.

Displays information about transactions involving Gift Cards that occur at your store.

  1. Filter by the following fields and Time Period:

    1. Card Number – Enter a Card Number (no more than 25 characters, established as an existing card under Products/Items > Gift Card). If there were any previously searched Gift Card numbers, they will appear when the field is clicked.

    2. Activity Type – Select from the dropdown:

      1. Adjustment – Any adjustments made from the Gift Card.
      2. Redeemed – Any redeemed activity made from the Gift Card.
      3. Recharges – Any recharge activity made on the Gift Card
      4. Sold – Any sold activity from the Gift Card.
      5. Refund – Any refund activity from the Gift Card.
      6. Void – Any void activity from the Gift Card.

    3. Employee – Select an Employee from the dropdown, or All for all employees (who were given access). You can Search to identify an employee more quickly.


    4. Sold In – Select the source of any sold, redeemed, refunded, voided, adjustment, or  recharged Gift Cards from the dropdown:

      1. All Back Office, Online Ordering and POS gift cards will be displayed.
      2. Back Office Gift Cards Back office will be displayed
      3. Online Ordering Gift Cards from Online ordering will be displayed.
      4. POS Gift Cards from POS will be displayed.

  2. Click Apply. The table with the following columns is populated:

    1. Card Number – The respective Gift Card (full number).
    2. Business Date – The Business Date of the Transaction (MM/DD/YYYY format).
    3. Transaction Date – The Date and Time of the Transaction (MM/DD/YYYY HH:MM:SS AM/PM format). 
    4. Employee – The username of the Employee who conducted the Transaction.
    5. Sale Number – The Sale Number (the day’s NodeNumber-CheckNumber format).
    6. Node – The POS Node from which the transaction was conducted.
    7. Activity Type – The type of Transaction (based on the Activity Type selection). 
    8. Sold In – The source of the Transaction (based on the Sold In selection).
    9. Amount – The amount of the Transaction (number with two-decimal point format based on Currency selection in Store settings).
    10. Balance – The remaining Balance on the Gift Card (number with two-decimal point format based on Currency selection in Store settings).

Displays information about transactions involving Give XCards that occur at your store.

  1. Filter by the following fields and Time Period:

    1. GiveX Number – Enter the GiveX Number (you can enter all 21 digits, but the field will show a maximum of 12 digits at a time). Since it’s a virtual card, a new one can be added from tablet, and amounts can be added from POS (from the Check option).

    2. Employee – Select an Employee from the dropdown, or All for all employees (who were given access). You can Search to identify an employee more quickly.


  2. Click Apply. A table with the below columns will be populated:

    1. Give X Number – The entire Give X Card Number.
    2. Date – The Date and Time of the Transaction (MM/DD/YYYY HH:MM:SS AM/PM format).
    3. Check Number – The Node and Check Numbers (Node-CheckNumber format).
    4. Employee – The username of the Employee who conducted the transaction.
    5. Node – The POS Node from which the transaction was conducted.
    6. Activity Type – The type of Transaction (based on the Activity Type selection).

    7. Amount – The amount of the Transaction (number with two-decimal point format based on Currency selection in Store settings).
